How to make an invoice without Excel or Word

Spreadsheet and Word templates drift and break totals. Use a browser form that calculates line totals, discount, and tax, then download a clean A4 PDF.

Excel and Word invoice templates work until a row is inserted wrong, a tax cell is overwritten, or the file is an old copy with last month's client still in the header. For a professional PDF with correct arithmetic, a purpose-built form is simpler than babysitting a spreadsheet.

What goes wrong with DIY templates

  • Totals that are typed, not calculated.
  • Currency symbols that do not match the amounts.
  • Logos stretched or missing when the file moves between computers.
  • Accidental edits to someone else's archived invoice when you "Save As" from the wrong file.

The browser alternative

Clearquire (opens in a new tab) is a form in your browser. You enter seller, client, lines, optional discount and tax; it rounds totals to the currency's minor units and builds an A4 PDF (Minimal or Modern) on your device. No account. Invoice details are not uploaded. Optional logo stays local (PNG, JPEG, or WebP, up to 2 MB).

Steps: how to create an invoice PDF without an account. Arithmetic: how to calculate discount and tax on an invoice. First-time path: how to send your first freelance invoice.

Keep a draft without a spreadsheet template

Turn on Keep draft on this device if you invoice the same seller details often. The form (and a resized logo) stay in that browser only. It is not a cloud sync and not a ledger — your PDF folder plus a simple payment spreadsheet still matter.

When Excel still wins

  • You are building a custom quote calculator with dozens of inputs.
  • Your accountant mandated a specific spreadsheet workflow.
  • You need pivot-table reporting inside the same file (that is bookkeeping, not invoicing).

For "make a correct invoice PDF and send it," skip the template archaeology.

Checklist

  • Open Clearquire; fill both parties and lines.
  • Check totals; download PDF; save under the invoice number.
  • Ledger row in whatever you already use for paid/unpaid.
