How to create an invoice PDF without an account

You do not need to sign up for an invoicing platform to send one invoice. Fill a form in the browser, download the PDF, and email it yourself.

Most free invoice generators want an email address first. Some keep every invoice you make, with your client list and bank details, on their server. If you send a few invoices a month, you do not need any of that. You need a correct PDF.

What you actually need

For a one-off or occasional invoice, the job is short:

  1. Fill in your details, the client's details, and the lines you are charging for.
  2. Check the totals.
  3. Download a PDF.
  4. Email it to the client.

An invoicing platform adds client records, reminders, payment links, and reports. Those are useful at volume. They also mean an account, a password, and a copy of your clients' names and addresses on someone else's system.

Why "in the browser" matters

An invoice holds more personal data than it looks: your address, your client's address, what you charged them, and often your bank details. When a tool builds the PDF on its server, all of that is sent there first.

A browser-based tool can build the PDF on your own device instead. The page loads its code, you type, and the file is made locally. The invoice fields are not sent anywhere.

Clearquire (opens in a new tab) works this way. Its privacy page (opens in a new tab) states that seller details, client details, line items, prices, tax, notes, payment details, and logos are not uploaded and are not stored by Clearquire. The form is not submitted to a server, and invoice details are not put in the address bar.

That does not hide the visit itself. Loading any website creates ordinary server and network logs, such as your IP address and the page you requested. Those logs do not contain what you typed into the form, because that text never leaves the browser.

Make the invoice

  1. Open Clearquire (opens in a new tab). JavaScript needs to be on, because the browser does the work.
  2. Press Fill with an example once if you want to see a finished invoice before you start. Replace the details with your own.
  3. Fill in Seller and Client. Only the names are required, but an address and email make the invoice usable.
  4. Under Invoice, set the invoice number, issue date, due date, and currency. GBP is the default. USD, EUR, AUD, CAD, and fourteen more are in the list.
  5. Add your Line items: description, quantity, unit price, and, if needed, a discount and tax rate.
  6. Add payment terms, payment instructions, and bank details if you want them printed.
  7. Choose a template. Minimal uses a thin accent rule and open paper. Modern puts an accent band across the top. Both are A4.
  8. Use Preview to check the page, then Download PDF.

Your logo

A logo can be PNG, JPEG, or WebP, up to 2 MB. The browser reads the file, resizes it, and draws it on the PDF. There is no upload step.

Drafts and clearing up

By default nothing is kept. Close the tab and the form is gone.

If you send the same kind of invoice every month, turn on Keep draft on this device. It saves the form, and a resized copy of the logo, in this browser only. It is not synced or uploaded. Turning the option off deletes the draft.

On a shared or work computer, use Clear everything when you are done. It resets the form and deletes any saved draft, including the logo.

Keep the downloaded PDF. Clearquire does not store your invoices, so the file on your device is your record.

What this does not do

Clearquire makes the PDF. It does not:

  • Send the invoice by email.
  • Take card payments or connect to a bank.
  • Keep a client list or invoice history.
  • Give tax, legal, or accounting advice.

If you need reminders, payment links, or an archive of hundreds of invoices, an invoicing platform is the better fit. If you need a correct PDF without handing over your details, the browser is enough.

Checklist

  • Open the tool and fill in both parties' details.
  • Unique invoice number, issue date, and due date.
  • Line items checked against your agreement.

  • PDF downloaded and saved somewhere you keep records.
  • Clear everything, if the computer is not yours.
